Mastering Leadership Communication

Why Effective Communication is the Foundation of Leadership

One of the most overlooked yet critical leadership skills is effective communication. Many leaders assume their teams understand expectations, priorities, and goals, but without clear and intentional messaging, misalignment is inevitable.

Strong communication that Teams crave from their leadership is built on:

Clarity: Leaders must communicate in a way that leaves no room for confusion.
Context: Explaining not just what to do but why fosters engagement and alignment.
Adaptability: Different team members require different communication styles.

A leader’s ability to clearly articulate vision, expectations, and feedback is what separates high-performing teams from struggling ones. I tell leaders to rightfully assume that the team(s) you lead cannot read your mind, so therefore, you must communicate.

The Power of Providing Context in Leadership Communication

One of the biggest communication mistakes leaders make is focusing only on instructions without providing context. According to Harvard Business Review, teams perform better when they understand the reasoning behind decisions.

It’s best to leave cryptic instructions to Escape Rooms! Why? Because when employees understand the “why” behind leadership decisions, they are:

More engaged in their work.
More likely to support company initiatives.
More proactive in problem-solving.

Example: Leadership Communication with vs. Without Context

Without Context:
“We’re changing our sales strategy next quarter.”

Result: Employees feel blindsided and resistant.

With Context:
“Next quarter, we’re shifting our sales strategy to align with new market trends. This will help us increase client retention and improve revenue growth.”

Result: Employees understand why the change is happening and feel more involved in the process.

“A leader’s job isn’t just to direct – it’s to ensure every team member understands not just what to do, but why it matters.” – Moneesa Credle

Understanding & Adapting Your Communication Style

Every team member has different communication needs. Some people prefer direct and concise instructions, while others need more explanation and reassurance.

As a leader, it’s your responsibility to adapt your approach to meet the needs of your team.

How to Identify Your Team’s Communication Preferences

Direct Communicators:

  • Prefer brief, to-the-point instructions.
  • Respond well to clear expectations with specific deadlines.

Contextual Communicators:

  • Need explanations, examples, and discussions.
  • Prefer collaborative decision-making rather than top-down direction.

By adjusting your communication style based on individual team needs, leaders build trust, engagement, and stronger alignment.

Real-World Example: How a Sales Manager Transformed Team Performance

A sales manager at a growing company noticed a pattern of underperformance within their team.

  • Initially, they provided vague feedback to avoid upsetting employees.
  • Performance did not improve because team members didn’t understand the issues or how to fix them.
  • The manager changed their communication approach, providing direct and clear feedback with context.

The result?

Employees understood expectations more clearly.
Sales performance improved significantly.
Team members felt more engaged and aligned with leadership goals.

This case study demonstrates the power of direct yet thoughtful communication in leadership.

The “inverse” of that scenario…

Early in my career, I observed a team work an entire weekend, on a project for a C-Suite presentation, spinning in uncertainty and creating multiple versions of the presentation, simply because they were afraid to ask the C-Suite Executive what questions they wanted their presentation to answer. Can you imagine what scenarios like this do to the morale and culture of an organization?

Practical Steps to Improve Leadership Communication

1. Clarify Expectations

  • Clearly define roles, responsibilities, and goals for every team member.
  • Ask: “If I were receiving this message, would I know exactly what to do next?”

2. Adapt Your Approach to Your Audience

  • Determine whether individuals need more directness or more context.
  • Use different communication methods – one-on-one meetings, team updates, written documentation – to reinforce key messages.

3. Provide Regular, Open Feedback

  • Encourage ongoing conversations instead of waiting for annual reviews.
  • Create a culture where employees feel comfortable sharing concerns and asking questions.
  • Be proactive in asking if there’s any additional clarity you can provide when giving instructions/communicating key pieces of information to others. The time spent answering a few questions is a multiplier on the efficiency of the Team/Organization in terms of doing what is needed of them.

By prioritizing clarity, adaptability, and open dialogue, leaders build more engaged and high-performing teams.

Interactive Exercise: Defining Your Communication Style

Step 1: Write down how you typically give and receive feedback.

Step 2: Reflect – does your communication style match the needs of your team?

Step 3: Identify two adjustments you can make to improve clarity and team alignment.

Step 4: Ask yourself, what would your Team gain by you having the courage to make this change to your communication style?

This self-reflection exercise helps leaders identify gaps in their communication and make small yet powerful improvements.

Key Takeaway: Strong Communication Creates Strong Teams

Great leadership is built on clear, direct, and intentional communication.
Providing context fosters alignment and engagement.
Adapting your communication style builds trust and improves performance.

When leaders communicate with clarity and purpose, they equip their teams with the tools to succeed.
